HOW TO WRITE A EVENT BRIEF
What’s an event brief? An event brief is a brief description of the event you plan to hold. It is written before any practical plans can be made and well before the event’s date. It contains all details pertinent to the event, including how it will run. This document should be referenced throughout the planning process to help you stay on track and keep your eyes on the result. Even though things can change quickly when planning events, any changes should extend your original idea.
How does the YCE use briefs for events?
Each year, the YCE hosts at least three events open to the public. Every member of the YCE receives a brief six to four months before the event delivery date. This brief gives everyone a clear understanding of the event and how they can participate. Members can also look into the leadership positions available (e.g. Event director, front of house manager or technical manager, marketing manager, etc. Decide if you want to be considered for any of these roles. Others can choose to opt-in or out for each event. They will often use the details of the brief to determine if they can or want to take part.
Tips for writing an Event Brief:
You must provide a brief overview of the event to begin the process. You can include details about the event’s structure and purpose, as well as a description of what you would like to see happen during the event. Include the purpose of your project. (including any ethos and targets)
* You must specify the date and times of the event and dates for interviews or meetings.
* Please specify the venue/location
Before you start writing the brief, it is important to know your target audience.
* Include in your brief any outside partners you may be working with. This should include their names and how they will be involved in the event.
* Set a budget for the event at the beginning of the event. This will help you plan. The brief should include this budget.
* It is important to include income and expenditure targets. If applicable, the ticket price and expected profit should be included.
* Each of the management/main roles must be listed, along with a brief description, so that people know what they are being put forward for.
* Finally, please include any necessary contact information to answer any questions.
* A briefing can recruit for leadership positions if you are planning. You can attach application forms. An event brief is often attached to job advertisements for freelance project coordinators in the professional world.
What event might shorts be helpful outside of the YCE?
A charity ball, fundraiser or gig, young enterprise event or sports tournament, or even a party within or outside your school, college or university, is a great place to start. This can help you define your goals and determine what areas of responsibility. Who needs to do what and when?
